Terms and Conditions

When booking a tour with Arctic Photo Guide, the customer (you and those that are included in the same booking) automatically accept the terms and conditions written below, unless stated differently on your booking confirmation.

Please note that you must be at least 18 year old to make a reservation with Arctic Photo Guide. If you are under 18 you must be accompanied by an adult.

CLOTHING AND EQUIPMENT

You are required to wear proper clothing and boots while on tour and this is your own solely responsibility. Before attending the tour please read the page “Tour clothing & equipment checklist” or get in touch so you can be provided with guidelines. Appropriate footwear is vital, we are in the Arctic ;)

At the pick-up time Arctic Photo Guide reserves a right to determine if you are dressed properly to join the tour and may be forced to deny your participation at the tour in case of doubts about your safety. The cold does not forgive, you don’t want to get frostbited don’t you? Cancellation policy applies in this case too, so no refund will be given if you booked any tour, but are not meeting the well explained and required clothing & equipment guidelines to attend the tours.

Arctic Photo Guide will provide you the following clothing and equipment: Thermal suits (full body suit, adult sizes from XS to XXL), hand and foot warmers, head torches, walking poles, trail crampons & snow rackets (also known as snowshoes, they are not actual shoes! EU sizes from 35 to 46) and professional Benro camera tripods.

TRAVELLING WITH CHILDREN? YOU MUST READ BELOW:

According to Norwegian law, children under 135 cm or 53 inches tall must sit in a specific car seat / booster seat when being transported in a vehicle. For this reason, children under this specified height can only participate in private tours and upon specific request, so that Arctic Photo Guide can provide the necessary seat for your children. Arctic Photo Guide reserves the right to measure the child's height at the pick-up point if in doubt about it. If you have provided incorrect information regarding the height of your children when you booked the tour, Arctic Photo Guide will not be held responsible if your children cannot be transported on tour in the event that they are shorter than the minimum height required by law. In this case there will be no refund, as this is the responsibility of (you) the parents. Please note that Arctic Photo Guide does not provide thermal suits for children (only adult sizes, smallest available is XS). Therefore make sure to dress your children properly!

PHOTOS

You will receive photos from your tour in web size resolution free of charge, but be aware that Arctic Photo Guide still owns the copyright of these pictures. Photos sent to you are for your own personal use only and cannot be submitted to contests, reproduced for commercial use, nor reproduced or modified in any other way. You cannot crop or remove the watermark.

Arctic Photo Guide holds the rights to use any photograph for promotional purposes, including photos taken during the tours where you are recognizable. If you do not wish so, please inform about this beforehand.

You will normally receive the photos from your tour within 2 days, but please be aware that during busy times it could take up to 3-4 days.

If you wish to purchase one or more picture in high resolution without watermark for printing, please send an email to info@arcticphotoguide.com providing your details, date of the tour & filename of the pictures.

The price is 150 nok per image, 600 nok for a package of 6 images, 900 nok for a package of 12 images or 1300 nok for the whole gallery. 

HEALTH ISSUES

You must inform Arctic Photo Guide prior to the tour about any food allergies.

You take full responsibility for your own health during the tours, although you have responsibility to notify us about your medical issues, if you have any, prior the tour, so we can better help you in case of emergency.

In case of any physical/psychological reasons making you not suitable to join the tour you already booked, Arctic Photo Guide will stick to the cancellation policy stated above in this page.

You need to be in good enough conditions to handle the challenging arctic weather and walk over ice & snow. Arctic Photo Guide’s tours are well described in their descriptions as suitable for most people, but not for everyone. People with motion disabilities and/or injuries unfortunately cannot participate at these tours because of the nature and type of the tours, being outdoor active tours executed on rough terrain, deep snow and generally slippery conditions. The vehicles used to transport the customers are also not suitable to transport for example wheel chairs, walkers, crutches etc. 

At the pick-up time Arctic Photo Guide reserves a right to determine if you are fit enough to join the tour and may be forced to deny your participation at the tour in case of doubts about your safety. Cancellation policy applies in this case too, so no refund will be given if you booked any tour but are not meeting the well explained and required fitness conditions to attend the tours.

Arctic Photo Guide reserves the right to not take you on tour and not refunding your booking, if at the pick-up point there will be signs / suspects that you are under influence of alcohol or any drugs. There will be no exception for that. 

You are not allowed to bring any alcohol or drugs with you on tour. It’s not a joke, don’t sneak any, in case of road controls from the authorities you will go into troubles as in Norway rules for alcohol under commercial activities are severely enforced.

Arctic Photo Guide reserves the rights to not take you on tour and not refunding your booking, if you have symptoms of flu or other viruses at the pick-up point. You have to be responsible in this case and we kindly ask you to inform us about your sickness as soon as possible to avoid unpleasant inconveniences.

Keep in mind that on these tour access to the toilet is limited. On some routes there might be a chance to stop at gas stations or public toilets, but in most areas away from Tromsø there are no toilets and there is only nature.

LIABILITY

Arctic Photo Guide cannot be held responsible for things outside its control, like delayed flights, blocked roads, nature catastrophes, other emergencies and/or force majeure that may not let you arrive on time for the tour, or make you being late to other tours/activities/transfers etc that you had planned after our tours. If your flight is scheduled after or before a tour it is at your own risk.

Arctic Photo Guide acts in good faith and cannot be held responsible for any loss or damage in case of an accident.

We expect customers to respect Arctic Photo Guide’s equipment and use it in good will during the tours. If the equipment is damaged due to circumstances which could have been avoided, you as customer are responsible to cover the cost of the damaged equipment at the following rates: snowshoes 4000 NOK, walking poles 1500 NOK, trail crampons 800 NOK, camera tripod 3000 NOK, thermal suit 1500 NOK, head torches 600 NOK.

CANCELLATION AND REFUNDS

Being a one person tour company offering the smallest sized tours in Tromsø, a cancellation policy is necessary to be able to cover the costs of financial operations while offering tours for a reasonable price.

GROUP TOURS: You can cancel your booking and get a full refund (minus handling fee) up to 5 days before the tour. In case you cancel your booking less than 5 days before the tour or you do not show up at the pick-up point at the given tour start time (maximum 15 minutes of delay), no refund will be given.

PRIVATE TOURS: You can cancel your booking and get a full refund (minus handling fee) up to 10 days before the tour. You can receive a 50% refund if you cancel up to 5 days before the tour. After this in case you cancel your booking or you do not show up at the pick-up, no refund will be given.

GENERAL CANCELLATION CONDITIONS:

There is a non refundable booking handling fee of 6% of the paid amount per booking (which covers transaction and booking fees).

Arctic Photo Guide will not be held responsible for any personal events, flight/cruise/mean of transportation schedule changes etc, that may result in the cancellation of your booking(s).

If Arctic Photo Guide chooses to cancel the tour for safety concerns due of severe weather conditions, road closures etc, you can be rescheduled to the following day(s) (depending on availability, either with me or another tour operator if you wish so), or offer a full refund.

The Northern Lights, must see dream of most visitors, are a natural phenomenon and nobody can guarantee you their visibility. But Arctic Photo Guide can guarantee you that will do the very best to find them! Therefore no refund will be given if we will not see them on tour, nor free additional tours.

In case of any changes made to the tour, Arctic Photo Guide will email, call and send a text to the contact info provided. Please be aware and have your phone reachable on the day of your tour, as Arctic Photo Guide will not be held responsible for no correspondence from your side.

TRAVEL INSURANCE

Arctic Photo Guide strongly recommends you to have a travel insurance to cover all the possible contingencies you may have to face in the case something goes wrong during your travel.
